Information we collect

Depending on how you use the website and our services, we may collect your name, email address, telephone number, billing details, accommodation choice, stay dates, number of guests, estimated arrival and departure times, booking notes, special requests, payment and refund references, and correspondence. We also keep information needed to manage approved visitors, additional guests, check-in, property care, complaints and booking changes. Please provide only information relevant to your request and avoid sending unnecessary sensitive information or other guests’ details without their permission.

The website and its service providers may collect IP addresses, browser and device information, pages visited, referral information, cookie identifiers and security logs. If you create an account, WordPress and WooCommerce store the account details and booking or order records associated with it. If comments, reviews or forms are available and you use them, the information you submit and related technical information may also be recorded; public submissions may be visible to other visitors.

Direct bookings and payments

MotoPress Hotel Booking manages accommodation availability, reservations and guest information. WooCommerce supports the linked order and checkout process. WiPay processes card payments through its payment service. Booking and order records may contain amounts, payment status, transaction references and refund information.

Card information entered on a payment provider’s page is handled by that provider under its own privacy and security arrangements. Please do not send full card numbers or security codes to us by email, WhatsApp or booking notes. See WiPay’s Privacy Policy for information about its processing.

How we use information

We use information to respond to enquiries; prepare and administer bookings; process payments and refunds; coordinate arrivals, departures, access, cleaning and maintenance; send confirmations and service messages; manage disputes and property issues; maintain business records; protect against fraud and misuse; and improve the website and guest experience. Processing may be necessary to fulfil a booking, respond to a request, meet applicable legal obligations or support legitimate business and security needs. Where consent is required for a particular use, we will seek it.

Booking and service messages are part of administering your stay. Making an enquiry or booking does not by itself subscribe you to unrelated marketing. If we offer marketing subscriptions, you can withdraw your consent or unsubscribe without affecting necessary booking communications.

Who may receive information

Information may be available to authorised people helping us manage your stay, including check-in representatives, cleaners and maintenance providers, limited to what they need. We also use service providers for website hosting, booking and order management, email delivery, payments, backups, security and website measurement. The site uses WordPress, MotoPress, WooCommerce and WiPay, together with hosting, email and security services. Providers process information under their own terms and, where applicable, our service arrangements.

We may disclose relevant information where required by law, to respond to lawful requests, to protect rights or safety, or to resolve a payment dispute. We do not sell guest contact information.

Cookies, analytics and marketing tools

Cookies and similar technologies may support logins, booking sessions, shopping baskets, security, preferences and referral or website-usage measurement. The site includes tools such as Jetpack/Automattic, MonsterInsights/Google Analytics and OptinMonster; the information collected depends on which features and campaigns are active. Some tracking may also originate from third-party embedded content.

We do not currently represent that every non-essential tool is blocked until a visitor makes a cookie choice. Where a cookie-choice control is available, you can use it to manage the choices it supports. You can also block or delete cookies through your browser and use providers’ privacy controls. Blocking some cookies may affect booking or account functions. Google explains its practices at Google Privacy Policy; Automattic explains its practices at Automattic Privacy Policy; and OptinMonster at OptinMonster Privacy Policy.

External booking websites and embedded content

Links to Airbnb and Your.Rentals take you to independent booking services. A booking made through those services is also subject to their own privacy policies and booking terms. External links do not transfer the information in our booking form merely because a link is displayed. However, embedded widgets, maps, videos or other third-party content can contact their providers when the page loads and may collect device information or set cookies, even if you do not make a booking. Any Your.Rentals widgets remaining on the website should be treated as third-party content.

Email, WhatsApp and international processing

We use email and may use WhatsApp to communicate with you. Those services process messages and technical information according to their own privacy policies. Website, email, payment and other providers may store or process information outside Trinidad and Tobago. Access and legal protections may differ between countries. Please contact us if you need information about a particular booking communication or provider.

How long we retain information

We retain booking, order, payment and correspondence records for as long as reasonably needed to administer the reservation, maintain business and accounting records, meet applicable legal obligations and address disputes. Retention depends on the type of record and the circumstances; this policy does not promise an automatic deletion date. Security records and backups may follow separate service-provider retention cycles. When information is no longer needed, we aim to delete it, anonymise it or otherwise limit its use. Contact us to request a review of information we hold.

Your requests and choices

Subject to applicable law, you may request access to your information, correction of inaccurate information or deletion of information no longer needed. You may also ask about limiting a use, withdrawing consent or raising a privacy concern. We may need to verify your identity before responding. Some records may need to be retained for legal, accounting, fraud-prevention or dispute purposes. Withdrawing consent does not affect processing already carried out lawfully. Please contact us first so we can investigate concerns; any rights to complain to a competent authority remain available under applicable law.

Children and guest information

Our booking arrangements are intended to be made by an adult. A booking guest should provide information about accompanying guests, including children, only where needed to arrange the stay and with appropriate authority. Please contact us if you believe unnecessary information about a child has been submitted.

Security and policy changes

We use reasonable administrative and technical measures to protect information and restrict access to people who need it. No website, payment service or communication channel can guarantee complete security. We may update this policy as services or practices change; the date above identifies the latest version.
